Front Desk Associate
Status: Part-Time Hourly
Classification: Non-Exempt - Administrative
Reports To: Director of Operations
Schedule: Evening and Saturday availability
POSITION SUMMARY
The VIVA School is seeking a passionate and energetic Front Desk Associate to join our team! Front Desk Associates play a vital role in ensuring the smooth and efficient programming operation at The VIVA School. As the first point of contact for visitors, students, and faculty during peak programming hours, the Front Desk Associate will provide exceptional customer service and administrative support. Ideal candidates have excellent communication skills, a friendly and welcoming demeanor, the ability to maintain and uphold an astute knowledge of the organization’s operating protocols, and a dedication to the organization's mission.
RESPONSIBILITIES
Responsibilities include but are not limited to:

Greet guests entering the suite in a friendly and professional manner; determining the nature and purpose of their visit, and directing them to the appropriate destination.

Answer and direct phone calls, taking messages and forwarding calls as necessary.

Maintain a clean and organized lobby environment supportive of the work that takes place within the suite.

Update, print, and store daily sign-in sheets.

Document class attendance in student management system (SMS).

Prepare studios for daily programming.

Work closely with the organization's management team to implement site policies and procedures.

Communicate effectively with internal stakeholders to address inquiries and resolve issues
IDEAL CANDIDATE
The ideal candidate will have the following qualifications and abilities:

Resides in the U.S.
-
High school diploma or equivalent (College degree or working towards a college degree preferred)

Previous experience in customer service, administration, or a related field

Excellent interpersonal skills with ability to maintain a calm and patient demeanor with all students, staff and constituents

Strong verbal and written communication skills in English / Verbal and written fluency in Spanish is an added benefit

Strong organizational skills with attention to detail

Ability to multitask and prioritize tasks in a fast-paced environment

Proficient in office software, such as Google Workspace, Microsoft Office Suite, and other database management systems

Flexibility to work evenings, weekends, and occasional extended hours during peak programming periods

Passionate about the advancement of students of color, the importance of arts and culture, and innovative approaches to education
